Primary Purpose: Under the direct supervision of the Operations and Finance Manager, the Operations Specialist will be the focal person providing key support on operations and human resources in the Jersey City office. They will be the point of contact between the local and national office for a variety of personnel and operational matters and will assist with office management duties.

Essential Duties

    • Complete local onboarding and orientation for new hires.
    • Communicate with national HR staff on recruitment and pre-boarding of applicants.
    • In coordination with the Office Director and supervisors, plan and track staff development.
    • Facilitate staff exits and complete staff offboarding checklist.
    • Oversees all cell phone purchases, assignments, repairs, and billing. Provide CWS Elkhart with updated cell phone assignments.
    • Communicate with Elkhart on IT-related office and staff needs including repairs, routine maintenance, returned equipment from exiting staff.
    • Maintain communication with CWS Elkhart to keep a current list of approved drivers and ensure that necessary paperwork is up to date for CWS-owned vehicles.
    • Prepares Allocation Change Forms for all staff and tracks staff FTE allocations to each program.
    • Maintains communication with CWS office in Elkhart for local information needed regarding credit cards, stamps.com account, as well as other office-support accounts.
    • Coordinating with Administrative Assistants, update office materials and forms to reflect changes in policies and procedures.
    • Coordinate the in-office schedule and staff desk assignments.
    • Tracks NJ Child-Protective Services law HR requirements and ensures office compliance with these and all federal requirements
    • Update and maintains security protocol for the office including training staff on building security and issuing keys for the office, storage units, and other office affiliated locations.
    • Assist with the development of job descriptions and additional recruitment efforts, as needed.
    • Provide regular support to Administrative Assistants.
    • Other duties as assigned.


Qualifications:

Education:Bachelor’s degree preferred, Associate’s degree in business administration or related field required.

Experience: 1-2 years of relevant work experience in office administration; human resources, or related field, preferred.

Skills:
  • Proficient in Microsoft Office applications (Word, Excel, Outlook); ability to use the internet and other digital tools for data entry, research, and problem-solving purposes.
  • Strong organizational skills and a high attention to detail.
  • Self-starter with excellent problem-solving skills combined with the proven ability to prioritize and manage time effectively.
  • High degree of professional integrity; ability and commitment to maintain confidentiality of sensitive data.
  • Ability to work well in a fast-paced environment.
  • Strong interpersonal and communication skills.
  • Strong English proficiency, both written and verbal.
  • Ability to work well independently, as well as collaborate and communicate effectively as a team member in a multi-cultural environment.

Special Requirements:

  • This position is based in the Jersey City office and will require both in-office work and remote work with the possibility of transitioning to fully in-person.
