SUMMARY

The Travel Coordinator supports external clientele needs for NIH programs. Provides all services necessary to provide travel to and from the meeting location for in-person meetings for all invitees designated by the Government. Provides planning, procurement, coordination, and reimbursement to the travelers. Provides offsite meeting rooms and event support when NHLBI or NIH facilities are not available. This is a hybrid position with in-office requirements at a government site.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Essential duties and responsibilities include the following. Other duties may be assigned.

Conducts commercial travel planning for invited participants.

Arranges for individual common carrier transportation for the invited traveler.

Coordinates and contracts for sleeping room blocks with appropriate hotels for all invited travelers and will coordinate individual room reservations as necessary to ensure that all travelers have a room.

Prepares itineraries for participants, including arrangements for common carrier travel, sleeping room, and ground transportation.

Arranges commercial travel in compliance with the limits established in Federal Travel Regulations, HHS policy, and the NIH Manual Chapter on travel. Exceptions shall occur only with prior approval of the COR.

Provides attendees and presenters with directions to the event location, parking information, and security information.

Coordinates and ensures reasonable accommodation services for any traveler requesting an accommodation and shall obtain documentation as needed.

Collects travel vouchers from travelers and shall provide per diem and other appropriate reimbursements for travel required to bring participants to the meeting or services required to hold the meeting.

Pays event vendor bills (hotel, common carrier, etc.) for any travel or services required to hold the meeting.

Reimburses participant travel expenses including long distance travel, ground transportation, lodging, M&IE, honorarium for those designated participants, and, in rare cases, reimbursement of registration fees when an NHLBI hosted conference is co-hosted with another organization. Reimbursement shall be in accordance with the amounts allowed by the Federal government.

Plans daily activities within the guidelines of company policy, job description and supervisor's instruction in such a way as to maximize personal output.

Responsible for aiding in own self-development by being available and receptive to all training made available by the company.

Responsible for keeping own immediate work area in a neat and orderly condition to ensure safety of self and co-workers. Will report any unsafe conditions and/or practices to the appropriate supervisor and Human Resources. Will immediately correct any unsafe conditions as the best of own ability.

EDUCATION/EXPERIENCE

Bachelor's degree and a minimum of two (2) years' relevant experience, or equivalent combination of education/experience.

CERTIFICATES/LICENSES/REGISTRATION

Must be able to obtain a customer clearance for access to facilities, equipment and property (Public Trust).

JOB SPECIFIC KNOWLEDGE/SKILLS/ABILITIES

Strong communication skills to guide client decision-making and event planning calls.

High attention to detail, with the ability to manage multiple ongoing activities.

Proficiency in Microsoft Office Word, PowerPoint, and Excel.

Ability to work independently or in a team environment with flexibility.

LANGUAGE SKILLS

Ability to read, analyze and interpret general business periodicals, professional journals, technical procedures or governmental regulations. Ability to write reports, business correspondence and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers and the general public.

MATHEMATICAL SKILLS

Ability to add and subtract two-digit numbers and to multiply and divide with 10's and 100's. Ability to perform these operations using units of American money and weight measurement, volume and distance.

REASONING ABILITY

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form.

Must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, depth perception, and ability to adjust focus. Exposed to general office noise with computers printers and light traffic.
