JOB DESCRIPTION - KEY QUALIFICATIONS

• Prior experience in the Construction industry preferred
• Prior contract payables experience preferred
• Prior experience utilizing construction accounting software and invoice imaging/approval/routing software a plus (such as Yardi, NEXUS, and IRIS Power Scan Systems
• Intermediate accounting knowledge
• Knowledge of construction lien waivers preferred
• Knowledge of Preliminary Notices and understanding of joint checks
• Intermediate level and experience with Microsoft Excel and Word
• Able to multi-task - handle multiple priorities and special projects
• Able to handle high volume AP workload
• Able to maintain the AP Training Manual
• Able to train new AP staff
• Assist in providing organized and thorough invoice support packages for Auditors and Lenders
• Familiarity with personal computers and 10-key
• Comfortable working in a team environment

REQUIREMENTS AND DUTIES:

• Process accounts payable which include the review of each invoice against contract/purchase order payment schedules, correctness of lien release information from subcontractors and material suppliers, insuring subcontractor affidavits are kept updated and adequate insurance coverage is in place at all times. Ad-hoc vendor account reconciliations.
• Scanning, indexing, and routing invoices for approval
• Effectively communicate with internal personnel and external customers to ensure efficient and accurate accounts payable processing
• Compiling draw support including invoices, lien releases, cancelled checks as required by Lenders
• Prepare new vendor set-up requests, void check requests, cancelled check requests, and manual check requests
• Mail pickup and distribution, check distribution, and filing paid invoices
• Support staff in other duties as needed
