Occupational Summary

The Senior Program Coordinator will administer Level I and Level II Fieldwork and Capstone projects and experiences in the new Occupational Therapy Doctorate Program. Working as an integral member of the curriculum, fieldwork, and capstone teams, this position supports the Director of Curriculum, Academic Fieldwork, and Capstone Coordinators. The Senior Program Coordinator will supervise support staff as needed to accomplish the needs of the program.

Occupational Summary

Plan, coordinate, and administer activities within assigned program areas; develop, coordinate and advise on policy and procedures related to specified programs. Administer Level I and Level II fieldwork, Capstone-related activities within the OTD curriculum.

Work Performed

Prepare Learning Experiences

· Identify, recruit, and coordinate student fieldwork/capstone placements.

· Assess fieldwork/capstone sites for alignment with curriculum.

· Communicate with fieldwork and capstone partners to schedule fieldwork/capstone experiences.

· Communicate with students about compliance requirements for all fieldwork/capstone experiences.

· Track student compliance and readiness for Fieldwork and Capstone experiences

· Assist in developing fieldwork and capstone materials.

· Assist with matching students to fieldwork sites.

· Assist with preparing and implementing fieldwork and capstone seminars.

· Assist in developing standardized patient encounters and other simulation activities related to Level I Fieldwork.

Administer Learning Experiences

· Initiate and track completion and renewal of contract agreements with new and existing fieldwork/capstone sites.

· Maintain and organize all fieldwork/capstone sites' contracts, insurance and compliance requirements.

· Ensure confidentiality of all student records.

· Prepare and distribute course and fieldwork information to students and fieldwork/capstone sites

· Establish and maintain all data/education platforms related to assigned program areas (CPI, EXAAT, CANVAS).

· Communicate regularly with stakeholder departments at Duke related to fieldwork, capstone.

· Maintain relationships with practice site contacts for smooth and efficient start to fieldwork/capstone experiences.

· Coordinate logistics of standardized patient encounters and other simulation for Level I Fieldwork

· Coordinate logistics of capstone-related community learning experiences

Assess Learning Experiences

· Assist with assessment of fieldwork and capstone programs, including the criteria and process for selecting sites, student outcomes, clinical educator outcomes, and others.

· Monitor and evaluate program effectiveness in line with the program assessment plan; investigate trends, and recommend and implement modifications to improve program effectiveness.

· Assess learning experiences in light of diversity, equity, and inclusion.

· Assist with accreditation reporting.

Promote and Report Learning Experiences

· Maintain communication with all fieldwork and capstone sites throughout the year.

· Assist with public relations activities to include conceptualizing and writing newsletters, promotional materials, publications, press releases, ads and fliers, and website content.

Perform other related duties related to implementation of the curriculum.

Staff member should possess executive administrative and organizational skill sets to support all aspects of fieldwork and capstone experiences. Exceptional organizational skills and project management are necessary due to multiple and recurring deadlines for information and data to pass between multiple entities internal and external to the University.

· Highly skilled in utilization of online and web-based management tools including but not limited to Canvas, Exxat, Qualtrics, and Qualtrics 360

· Highly skilled in utilization of spreadsheets for accurately recording, capturing, and managing data

· Ability to obtain and precisely manage information from fieldwork sites related to unique fieldwork site requirements, policies, and procedures including, when required by fieldwork site, use of password protected online portals

· Computing competencies that extend beyond MS Office suite; ability to quickly learn and implement survey tools and work with data.

· Customer service orientation: approachable and responsive to student, faculty and volunteer requests.

· Ability meet deadlines and be accountable with limited supervision.

· Ability to thrive and adapt in a changing environment.

Required Qualifications at this Level

Education/Training:

Work requires analytical, communications and organizational skills generally acquired through completion of a bachelor's degree program.

Masters preferred

Work requires one year of experience in program administration or involving academic, instructional or counseling activities to acquire skills necessary to plan, coordinate and implement a variety of program activities and events.
