Job Summary:

The HR Coordinator is responsible for the timely communication to staff and departments in regards to all of the agency's professional development and rewards programs; also for maintaining compliance in employment and licensure requirements.

This is a non-exempt position.

Essential Functions of Position:

  • Perform a wide variety of responsible clerical, administrative, and office support duties in support of the Human Resources Department.
  • Respond to employment verification requests, salary and employees request for copy of personnel file, and other requests for information.
  • Performs annual reviews of credentialing and verification of licenses Nurses (RN & LPN), medical staff, allied health professionals and licensed clinical professionals. Notify employee and immediate supervisor thirty days prior to expiration of license.
  • Coordinate the MBTA and Bay Rewards program.
  • Maintain payments and tracking of Nursing Program and Simmons Program.
  • Prepare Check Request, Vacation Buyback Request & Tuition Reimbursment Request for Vice President of Human Resources.
  • Reconcile credit card bill.
  • Submit new hire information to Department of Revenue.
  • Maintain the Referral Bonus list paying out the bonus to referring employees once the new hire has completed the requirements.
  • Input employee performance evaluations into Dayforce and scan into employee file.
  • Other duties and projects as assigned by the HR Associate Director.

Other Specific Duties and Responsibilities:

Provide coverage when Receptionist is out or away from desk to process mail or open door for deliveries.
  • Answer general phone inquiries using a professional and courteous manner.
  • Direct phone inquiries to the appropriate staff member
  • Reply to general information requests with the accurate information
  • Greet clients/suppliers/visitors to the organization in a professional and friendly manner.
  • Manage HR email boxes(HRForms, Human Resources).
  • Prepare and send outgoing faxes, mail, and courier parcels.

Qualifications:
  • Strong Organizational Skills
  • BA preferred with three to five years of office experience.
  • Strong Knowledge of Excel, Word, and Google Documents.
  • Excellent written and oral communication skills.
  • Ability to multi-task and prioritize accordingly.
  • Excellent interpersonal skills across all levels of the organization.
  • An acceptable CORI (criminal record assessment).
  • A COVID-19 vaccination is a requirement of the position. One COVID-19 shot is acceptable, contingent on the individual receiving the second shot within the allotted time frame.
