Overview

Amtrust is looking for an experienced adminsrative assistant to join our growing team. This person follows and takes initiative of many diverse projects as directed by the VP of Tax and the AVP of Domestic Tax. Assists in the preparation of federal state and local tax returns of a multi-national insurance and non-insurance group.

Responsibilities

Duties and Responsibilities

  • Monitor tax calendar to ensure accurate completion of filing obligations
  • Respond timely to requests made of the tax department by other locations and other departments
  • Complete special tax projects as needed as directed by any member of the tax department
  • Open, log, scan and distribute all tax department mail
  • Process invoices for payment
  • Monitor premium tax email account, distribute emails as necessary, save messages in appropriate folder
  • Ensure the tax department is in compliance with electronic document retention by scanning all returns and documents before mailing
  • Mailing of all corporate tax returns (income, franchise, personal property, annual reports, and premium tax returns, both annually and quarterly)
  • Locate and document check numbers for all checks mailed by the tax department
  • Responsible for keeping all occupational licenses on file as proof of payment for all cities in which the insurance companies have conducted business
  • Obtain necessary signatures and notarize returns prior to mailing
  • Order all supplies for Tax Department
  • Update monthly reports from Oracle
  • Responsible for handling miscellaneous tax department administrative duties
  • Assist in the preparation of quarterly estimate premium tax returns based on prior year returns and actual premiums
  • Preparation of supporting workpapers for yearly and quarterly premium tax returns
  • Respond timely to tax correspondence and notices received from taxing authorities
  • Preparation of quarterly estimate excise tax deposits
  • Preparation of all Municipal tax returns
  • Preparation of all Municipal Occupational License Applications


Qualifications

  • High school diploma\work experience and tax knowledge\experience a plus
  • College graduate with tax knowledge\experience a plus
  • Knowledge of Microsoft Word and Excel
  • Organizational Skills
  • Detail Oriented
  • Ability to work in a fast paced environment
  • Must be able to work independently and within a team environment.
  • Excellent verbal and written communication skills.
  • Ability to process large volume of tax returns accurately, timely and in a short amount of time, while keeping the returns organized.
  • Premium Pro Enterprise
  • Oracle
  • Desire to take on additional tasks
  • Desire to learn new skills
  • Notary privileges a plus, if not, obtain within 60 days of employment

  • Ability to maintain detailed file system
  • Must be detail oriented with good organizational skills
