Hours per Week: 20

Work Conditions: Work is primarily sedentary in nature

Duties of Position: Provides administrative support for communication, stewardship activities and marketing efforts for the Foundation’s scholarship program. Works closely with donors, volunteers, students, scholarship recipients, and Harper faculty and staff to help with awarding scholarships, stewarding donors and engaging scholarship recipients and overall administration of the scholarship program.

Coordinates written and electronic communication plan to scholarship donors and scholarship recipients including stewardship reports, thank you notes, holiday cards, award letters, thank you videos, orientation invitations, and post scholarship acceptance communications.

Assists with scholarship review committee meetings to include scheduling interview dates, contacting students for interview times and preparing application packets. 

Updates information in the scholarship awards management system to include scholarship award amounts, post scholarship acceptance questions and award letters.  Shares updates with the financial aid office regarding scholarship award amount changes.

Prepares new scholarship agreements and coordinates the new scholarship process, maintains and monitors existing scholarship agreement and files.

Schedules donor and scholarship recipient meetings. 

Prepares paperwork for transfer scholarships awarding.

Supports scholarship marketing efforts to students by helping with student communications, preparing files for bulk email messages and attending in-person scholarship outreach activities on campus. 

Provides support to the Scholarship and Special Projects Manager with the scholarship portion of the annual Foundation audit.

Assists with the planning of the annual scholarship stewardship event. 

Acts as backup for the email account.

Provides customer service to students and faculty regarding questions to the awards management database and application questions.

Contributes to the overall success of the College and Foundation efforts by performing other duties as assigned.

Educational Requirements: Associate’s degree required.  

Experience Requirements:  Three years of progressively responsible office/assistant experience required. Strong interpersonal and organizational skills required. Must have excellent verbal and written communication abilities. Extensive experience and proficiency with Microsoft Office products including but not limited to Word, Excel, PowerPoint, and Outlook. Familiarity with data entry, spreadsheet, and interactive database software, Acrobat/Adobe Writer, Web-based communication tools preferred.  Working knowledge of Blackbaud or Awards Management (formerly Academic Works) preferred.

Works well with constant interruptions and changing priorities; able to independently organize work, set priorities, meet critical deadlines and follow-up on various assignments with a minimum level of supervision.

Works well with a variety of internal and external constituents and provides customer-focused service.
