The Reserves Supervisor is a key member of the Access Services staff and is responsible for coordination of reserves throughout Smith College Libraries. Communication is a critical component of this position as it will be working with faculty and staff to ensure that reserves are processed and updated in a timely manner. This position processes reserves in multiple formats and ensures that staff throughout the library are kept abreast of current reserves activities. The Reserves Coordinator's shift is Sunday-Thursday 10:00am-6:00pm with the possibility of working nights or weekends if necessary.

Essential Functions

Service Point Coordinator: Reserve/E-reserve Service (65%)

  • Coordinate print and electronic reserves across Smith College Libraries.

  • Search course bibliographies to identify local holdings, submit library orders, create online reserves lists and associated records, collaborate and resolve problems with faculty, maintain the reserve stacks, and keep accurate records.

  • Receive and request electronic materials from faculty; scan, edit and save documents; link materials to library reserve system and the college's course management system.

  • In collaboration with the Access Services Librarian, ensure that scanned resources meet accessibility standards.

  • Capture and link to streaming/video resources for reserve. Resolve service problems, issues and questions.Assist in training staff and students as needed.

  • Act as liaison with the Smith College School for Social Work (SSW) to process reserves needed for their Summer programs.

  • Coordinate with the SSW Faculty Support and Systems Specialist to secure course lists to process for reserves and let them know which resources will require copyright clearance.

  • Manage the SSW placement shipping program while students are on placement during Fall and Spring Semester.

  • Maintain, update and create policy and procedure documentation to process e-reserves and print reserves and train support staff as needed to support services.

  • Serves as the main point of contact to attend any reserves related questions, meetings or working groups with the College or Five Colleges.

Direct Customer Service: 35%

  • Maintain effective communications with staff in Public Services as well as Teaching Learning and Research and throughout the libraries.

  • Provide direct customer service at the central service point desk in accordance with service standards.

  • Service desk duties may include: Interpreting citations, checking library holdings,checking materials in and out, collecting fines and fees, answering patron questions in person or online, providing directions and referrals, resolving service problems, issues and questions, sorting, reshelving and re-filing materials.

  • Maintain a basic knowledge of related services (e.g., reference, interlibrary loan, acquisitions, cataloging, branches).

  • Contribute effectively to teamwork, communication, problem-solving and customer service. Participate in meetings, planning sessions, and committees.

  • Supervise student workers and serve as the main circulation supervisor on Sundays.

Other Functions

  • Provide back-up assistance for all other circulation functions across all branches of the Libraries.

  • Perform other duties as required.

Minimum Qualifications (knowledge, skills, education, experience, certifications, licenses)

Associate's degree or equivalent; 3 years of related experience; or equivalent combination of education and/or experience; supervisory experience preferred.

Preferred Qualifications

  • Bachelor's degree

  • Work experience in an academic or research library.

  • Proficiency with MS Office and/or Google Suite

  • Supervisory experience

Skills

  • Excellent communication and interpersonal skills; problem solving and analytical skills; accuracy and attention to detail; ability to organize and prioritize work effectively.

  • Ability to deal with people of all backgrounds and to work independently and as part of a team.

  • Proficiency with office technology and familiarity with library software.
