FOCUS

Reports directly to the Director, People Operations (Dotted reporting line to Regional People Director, Central/West), the Regional People Coordinator, Central + West supports multiple HR functions, including onboarding, employee records maintenance, organizing, coordinating, and carrying out various HR administrative tasks for the assigned regions. The Regional People Coordinator, Central & West provides timely onboarding and HR coordination support to Field Local and Regional Leadership with their assigned regions.

WHAT YOU CAN EXPECT TO DO

Onboarding:

  • Run the end-to-end coordination of new VEGgie pre-onboarding and first day activities (ie. background checks, pre-hire employment verifications, orientation sessions, etc) for assigned hospitals and or departments/business units)
  • Create and set-up employee profiles in HRIS (Paycom)
  • Maintain, assign and audit onboarding checklists and associated onboarding activities and required trainings (harassment prevention) to new hires in HRIS (Paycom)
  • Manage the storage and administration of all offer letters and pre-employment/onboarding paperwork in HRIS and employment folders
  • Support new hires with IT setup requirements (hardware, software + system access ie. Hospital/VQ software setup) liaising with IT team as necessary
  • Prepare weekly new hire onboarding status reports for Regional People Partners and People leadership team
HR Operations & Systems:
  • Assist with the intake and processing of all employment changes across (ie. promotions, internal transfers, pay changes, I-9 reverifications, leavers etc)
  • Support with reporting of all regional HR/employment changes (HR dashboard) in assigned region
  • Provide support with drafting and generating employee change documentation (pay increase letter, promotion letters) and maintain them in respective employee files as requested by Regional People Director
  • Oversee HR inbox and provide timely guidance to employees related to People-specific administrative inquiries and/or requests (ie. VOEs, HRIS, benefits, etc) while escalating complex matters to the appropriate People Partner or People Leadership team member
  • Proactively support with communicating out VEG-wide process changes to assigned field People Partner team members
  • Assist functional People leaders with data integrity requests in preparation for program, system-setups, or project/initiative roll-outs
  • Provide assistance with org-wide People team projects + initiatives ie. performance reviews, engagement surveying, staff budgeting, etc), helping to communicate out timelines/deadlines and track progress for assigned region
  • Support with developing and documenting People related processes
  • Back up administrative support to the People team or People Coordinator team as needed
Benefits Administrative Support:
  • Provide support to VEGgies in navigating Employee Health + Wellness plans during on/off boarding processes
  • Assist with the administration of VEG's LOA offering, paid leave requests and worker's compensation claims
  • Answer basic benefit related questions and/or escalate to appropriate contact as needed

WHAT YOU NEED
  • 2+ years' experience in an HR or employee onboarding position
  • Familiarity with HR Information Systems, ATS + Payroll applications (Experience with Paycom is a plus!)
  • Working knowledge of benefits programs including: health insurance + 401k plans
  • Knowledge of state, local + federal employment/labor law (CA employment/labor law is a plus!)
  • Bachelor's degree in HR or related field
  • Outstanding communication and organizational skills as well as the ability to multi-task maintaining confidentiality a must
  • Energetic, motivated, passionate self-starter
