Brief Summary of Job Duties

The Programs Director reports to the Director, Alumni Affairs, and has overall responsibility for a multi-pronged engagement strategy for UCSB alumni that includes numerous campus-based and regional events, the "professional development" initiative for alumni including www.gauchonetwork.com, student activities intended to foster a culture of philanthropy, and major events including the All Gaucho Reunion, Alumni Awards Dinner, Day of Service and Exceptional Women, Exceptional Gauchos. This includes oversight, management and supervision of two FTE) and approximately six student employees; and overall responsibility for strategic planning and design of programs that achieve Alumni Association, campus, division and department goals and objectives.

The Programs Director is a member of the Alumni Affairs management team, involved in long-range planning, decision-making, and policy and procedure formulation and management. The Programs Director serves as primary liaison to several Alumni Association Board of Directors Committees, and the Office of the President and other UC campuses, as related to these program areas. The Programs Director is ultimately responsible for an annual budget of approximately $250,000.

Programs Director has a major role in the UCSB Alumni Strategic Plan, Vision 2020: Your Story Continues Here. They will be working to increase the number of engaged alumni by 40% by the year 2020. The Programs Director is a member of the Alumni Affairs management team, involved in long-range planning, decision-making, and policy and procedure formulation and management, both related to these program areas and to other program areas within the department. The Director serves as primary liaison to several Alumni Association Board of Directors Committees, and the Office of the President and other UC campuses, as related to these program areas. The Director is ultimately responsible for an annual budget of approximately $250,000.

Successful performance of these duties requires highly developed communication and organization skills, demonstrated capacity for leadership, ability to understand, interpret and communicate policy, work with diverse people, work under pressure and independently meet deadlines. The director must develop broad knowledge of Alumni Affairs, Development strategies and current UCSB news to provide a resource for interested alumni and other individuals. Must be able to work independently, act with sound judgment and high degree of confidentiality, anticipate job requirements, prioritize and coordinate multiple complex tasks. Must possess proficient knowledge of MS Office and demonstrated ability to quickly learn various software programs. Must be available for frequent travel and to work weekends and evenings as needed.

Job Functions/Percentage of Time/Duties

UCSB Alumni Engagement - 35% Daily

Responsible for the strategy, overall management and implementation of all Alumni Association programs that include numerous regional events, student activities intended to foster philanthropy and engagement, and All Gaucho Reunion. The Programs Director must work collaboratively across multiple departments and divisions including the central development office as well as with the various schools and units.

Provides guidance, leadership and implements strategic, long-range planning and management of each program area, by providing knowledge, advice, context, and direction. Ensures that all activities within each program area contribute to the achievement of campus, department, division and Alumni Association priorities and initiatives. Ensures that long-term relationships with alumni are fostered and enhanced by all program offerings. Ensures that all program activities are implemented according to all applicable policies, procedures and regulations.

Designs program activities for maximum effect, analyzes program results, and recommends and implements modified or new programs as necessary. Establishes an annual budget for programs and oversees expenditures on a quarterly basis to reconcile with the original plan and objectives. Reports to the Director, Executive Director and Alumni Association Board on overall and specific program budgets and programmatic results, including recommending and implementing budget cuts or requests for funding augmentation to achieve specific goals.

As a member of the Alumni Affairs management team, is involved in long-range planning, decision-making, and policy and procedure formulation and management to achieve both program-specific goals and objectives, and to insure that Alumni Association events help achieve overall Association, division and campus goals and objectives.

Works closely with the Development Office Director of Regional Giving and Annual Fund to ensure that Alumni programs compliment the goals and objectives of the regional and annual giving programs.

Corporate Alumni Engagement - 25% Daily

The Program Director is the lead on the Professional Engagement Program, supervising the FTE of that program which aims to create a set of robust opportunities through industry and workplace networking groups, regional networking nights, online professional development programming (Gaucho Network), and mentoring and hiring connections with current students. Named the "Gaucho Professional Network," the initiative is one of the key focus points for alumni programing. The Programs Director provides high level strategy and ensures the program staff reaches their goals.

In order to achieve success, the Programs Director works across campus to build strong relationships with Career Services, Development and the various schools and units.

Alumni Donor Prospecting - 30% Weekly

Actively utilizes regional events, All Gaucho Reunion and alumni volunteer groups to identify new donor prospects. Works with the Director of Development for Alumni Affairs, Prospect Management, Research and the Regional Development team to qualify new donor prospects and strategize on next steps. Follows up with the appropriate Development Officers to ensure that follow up has been completed.

Administrative Supervision and Advocacy - 10% Monthly

Supervises two FTE and approximately six student employees, including hiring, training, directing daily activities, reviewing progress in projects, setting priorities and goals, conducting annual performance evaluations, ensuring overall adherence to University and Alumni Association policies and procedures.

Coordinates UCSB alumni participation in annual advocacy events coordinated by Office of the President, including consultation on meeting campus goals for the event, invitations, publicity, registration and staffing these events.
