Position Summary

The program coordinator is a key member of the Service line. This position will have primary responsibility for the planning, development and implementation of all project activities related to program accreditation. This position will involve both the daily care of pulmonary hypertension patients and the executive administrative needs associated with the physicians and clinical/ nurse members of the program. The program coordinator will be the first contact that the patient or referring provider encounter and thus will need to be a positive, reassuring voice of the program. The program coordinator will perform administrative duties including data collection, tracking, and maintenance of accreditation quality metrics. This individual strives to achieve positive patient care outcomes, satisfaction, and quality according to the standard of care, policies and procedures provided by GW Medical Faculty Associates.

Essential Duties and Responsibilities: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Other duties may be assigned.

Leadership:

  • Presents strategies and acts as a change agent to resolve research related issues and patient care.
  • Evaluates the appropriateness of care in collaboration with the pulmonary hypertension multi-disciplinary team. Provides direction to others in achieving any necessary changes.
  • Collaborates with appropriate MFA, University, and Hospital committees, providing leadership about programmatic initiatives for PH.
  • Works closely with the Executive leadership to ensure programmatic growth and strategic plans for the PH program.
  • Plans, monitors and coordinates patient care using the plan of care or clinical pathways, identifying that patient and family needs for consultation with other multidisciplinary specialists and assures needs are met.

Clinical:

  • Collaborates with nursing staff and other healthcare disciplines to assure safe patient care.
  • Operates as the primary point of contact for those individuals for all interfacing organizations and functions.
  • Identifies issues, presents strategies, and acts as a change agent to resolve patient care and administrative related issues.
  • Serves as the liaison to community professional organizations.
  • Plans programmatic events and CME including community outreach.
  • Ability of work independently and exercise good clinical judgment.
  • Ability to work through complex issues and be able to juggle multiple and competing priorities.

Administrative/Clerical:

  • Screening telephone calls, visitors, and incoming correspondence with the ability to triage to the appropriate staff member. Responds to requests directly or on supervisor's behalf.
  • Organizes individual patient scheduling of clinic appointments, testing in both the clinic and hospital outpatient procedures (including admissions, cardiac catheterizations, imaging, etc.).
  • Reserving and preparing rooms: organizing teaching materials, submitting MFA, hospital, and administrative requisitions, and assisting in basic logistical arrangements, running reports, and providing general administrative support.
  • Calendar management and facilitation of conference meeting logistics.
  • Responds to daily programmatic tasks in outpatient EMR.
  • Organization of the weekly program clinical/research meetings.
  • Helps with maintenance of publications library, CV, and professional society memberships for MDs.
  • Creates itinerary for conferences and out of town lectures, coordinates travel arrangements and preparation of expense reports.

Regulatory/Policy:

  • Demonstrates awareness and compliance with GWMFA, University and GW Hospital policies and procedures.
  • Complies with standards and regulations of licensure, regulatory and accrediting agencies.

Communications/Education:

  • Belongs to appropriate professional and/or specialty organizations, keeping abreast of current clinical trends and technology about the program.
  • Assists in initiating and implementing necessary changes in patient centered care delivery through the sharing of research, current trends, and authority as an expert practitioner.
  • Prepares for program accreditation procedures as it applies to research with the Director of the PH program.

Professional Development:

  • Determines own professional needs through on-going self-assessment and evaluation of role performance and assumes responsibility for meeting those needs.
  • Participates in educational offerings.
  • Attends relevant workshops, conferences and seminars, locally and nationally.
  • Disseminates professional contributions in lectures and seminars.

Qualifications

Education

  • College degree preferred

Experience

  • A minimum of 4 years of relevant experience
