Position Summary

Role is responsible for the US payroll and payroll processing functions of the firm. This includes the preparation, processing, verification and reconciliation of the payroll in ADP Vantage, while ensuring the integrity of the Firm's policies and compliance with payroll tax rules and regulations.

Role is responsible for coordinating with the finance and HR teams members to process payroll for existing and new employees and manages the employee benefits within ADP to ensure that payroll deductions are processed accurately.

Role supervises staff responsible for processing of all exempt and hourly payroll, leave reporting and special payments. Role also helps manage the ADP Data Bridge employee/payroll changes from Workday and oversees the maintenance of the ADP Time Reporting application along with staff responsible for providing training to hourly employees. Role also facilitates the reporting from ADP GL for accounting and reconciliation.

Role is also responsible for reviewing and reconciling certain international payroll templates for HR Compensation and GTS team's review and consolidation. Role is responsible for the timely distribution of all special payments (i.e., bonuses, special payments) provided by the HR Compensation team to the international payroll teams.

Role works directly with the Principal of the Global Employment Tax and Payroll group on US mobility issues and help respond to employee tax withholding adjustments. Role works directly with staff responsible for maintaining materials on employee on-boarding, training and off-boarding for payroll and US mobility purposes.

Role separately helps oversee the ADP system and payroll policy compliance and works closely with the Principal of Global Employment Tax to ensure appropriate payroll withholding are performed in the proper jurisdictions especially in the case of remote workers.

Role requires strong professional and communication skills in order to liaise effectively and efficiently with the other contributing partners to payroll, primarily Human Resources, Equity, Benefits, GTS, Corporate Accounting and other finance areas and to safeguard highly confidential information.

Key Duties/Responsibilities

  • Perform US payroll and payroll processing functions. This includes the preparation, processing, verification and reconciliation of the payroll in ADP including the funding for the different departments, while ensuring the integrity of the Firm's policies and compliance with payroll tax regulations
  • Supervises the staff responsible for processing of all exempt and hourly payroll, leave reporting and special payments
  • Ensure proper reporting and set up from ADP GL for accounting and reconciliation
  • Work directly with the Principal of Global Employment Tax and Payroll group on US mobility issues and help respond to employee tax withholding adjustments
  • Work with staff responsible for maintaining materials on employee on-boarding, training and off-boarding for payroll and US mobility purposes
  • Helps oversee the ADP system and payroll policy compliance and works closely with the Principal of Global Employment Tax to ensure appropriate payroll withholding are performed in the proper jurisdictions especially in the case of remote workers
  • Help manage and maintain the ADP Data Bridge employee/payroll changes from Workday and oversees the maintenance of the ADP Time Reporting application along with staff responsible for providing training to hourly employees
  • Maintain, manage and create reports under ADPR for tax reporting, payroll review and reconciliations and any other special projects as needed
  • Communicate with ADP consultants to effectively manage and maintain all internal payroll calculations related to employee leave, 401K match, and backend adjustments using prior quarterly adjustments through validation
  • Prepare any prior quarter adjustments as necessary
  • Document all payroll processes and maintain documentation for business continuity
  • Responsible for ensuring all Restricted Stock Units Units (RSUs) are processed accurately and accordingly while working with the Global Employment Tax team on proper tax rates and allocation splits
  • Responsible for reviewing and reconciling certain international payroll templates for HR Compensation and GTS team's review and consolidation
  • Responsible for the timely distribution of all special payments (i.e., bonuses, special payments) provided by the HR Compensation team to the international payroll teams
  • Assist in managing the employee self-service payroll application in ADP and respond to employee requests for information as necessary
  • Manage employee on-boarding and termination process for payroll in terms of tax withholding documents review and proper tax set up of the employees tax withholding
  • Help ensure that all employee state withholding and non-resident withholding documents are in place for all US employees
  • Process all shadow payroll for international mobile employees and expatriates
  • Reconciliation and review of 401k employee and employer match as requested by the HR benefits team
  • Supervise, mentor and train staff to perform certain payroll functions and respond to employee requests
  • Responsible for communicating to employees any significant changes in the tax withholding rules and tax rates when necessary
  • Other projects as assigned


Qualifications

Knowledge and Experience
  • Minimum of ten years of work experience
  • Experience with payroll tax and payroll processing
  • Experience in ADP Platforms and Products. ADP Vantage experience is a plus
  • Excellent Microsoft Office Skills (including Outlook, Excel, and Word).
  • Strong organizational skills and attention to detail
  • Ability to work independently with strong follow-through skills
  • Excellent communication skills - both verbal and written
  • Flexibility to juggle moderate degree of multiple and changing priorities
  • Resourcefulness (especially online) in executing projects
  • Collaborative/teamwork attitude and skills a must
Education and Certifications
  • College degree required
  • FPC (Fundamental Payroll Certification) or CPP preferred (Certified Payroll Professional) (not required)
