Our client, a global logistics company is seeking an Operations Coordinator to join their team on a temporary-to-hire basis, interviewing immediately. They are located in Carol Stream, IL. This position is onsite.

Job Responsibilities:

• Communicate effectively to meet customer requirements, resolve customer problems or complaints expeditiously, and complete booking requests timely.
• Report any OS&D issues on cargo received to customer, follow up to determine the outcome if the cargo can be shipped, required to be re-packed or collected as it could not be exported.
• Chase any missing document with the customer to ensure all required paperwork is received prior to cut off.
• Complete booking requests
• Make sure load planning is aware of any special requirements on the handling of the cargo
• Lodge any hazardous paperwork with the Haz Team to see pre-approval on being able to handle the cargo
• Proof all load plans provided by customer
• Full loads:
• Plan for and prepare load plan of all bookings from customers
• Correspond with warehouses and drayage providers with instructions for pick-up, load and returning of all containers.
• Verify bookings loaded from load confirmation received from warehouse.
• Return customer load plan with container number and seal.
• Coloads
• Process coload requests according to customer instructions
• All coloads to be completed by noon @ loading station
• Work with US traffic teams to secure late gates for coloads
• Communicate converted bookings with correct pricing back to customer
• Update 1.5 as needed to remove docs holds
• Process Rate quotes
• Obtain all necessary information from customers
• Quote competitively
• Process and send weekly inventory reports to customers
• Resolve issues with vendors and CFS as needed
• Develop good working relations with vendors and CFS, to ensure high degree of service
• Be compliant of all flags and holds, double checking accuracy and working to release for loading
• Properly segregate hazardous, being compliant with US restrictions and regulations
• Professionally communicate to customer regarding reschedule of cargo and reason
• Complete rail billing (as applicable)
• Finalize all loads within 2 hours of receipt from CFS, ensuring finalized load plan matches actual loaded container and sailing schedule is clear from non-loaded or late add cargo
• Invoice customer for 3PL work timely
• Complete tasks and projects as assigned by management

Critical Skills:

1. Strong verbal and written communication skills that convey a friendly and helpful attitude.
2. Attention to detail and accuracy.
3. Good overall product familiarity (documentation, customer service, CFS)

JOB SPECIFICATIONS

Minimum Requirements:

• High School Diploma
• 2+ years logistics experience
• Microsoft Windows, MS Office
• Ability to constantly operate a computer/keyboard and other office equipment such as a printer, copier, calculator, etc.
