We are thrilled to be providing primary care services at our new, state-of-the-art location at 80 Beharrell Street in West Concord, Massachusetts.

General Summary

Our team is seeking a full-time Medical Secretary/Receptionist to be responsible for greeting, instructing, directing, and scheduling patients and visitors. The successful candidate will serve as a liaison between patients and medical support staff.

Duties and Responsibilities

  • Demonstrates courteous professional and cooperative behavior toward patients, visitors, coworkers and physicians. Performs duties as a team member, integrating activities with those of fellow employees and physicians.
  • Open and close telephone service per established procedures.
  • Courteously answers the telephone, screens and triages calls appropriately. Refers callers to appropriate person or area when necessary. Troubleshoots any issues that arise and follows through with caller.
  • Calls patients to confirm appointments, calls to reschedule all cancellations. Schedules patient appointment and coordinates calls to appropriate voice message unit for necessary referral or ancillary appointments, prescription refills or diagnostic test results
  • As part of the check-in process, provides new patients with patient registration form and copies insurance card for patient file and/or billing purposes. Registers patient into the computer system. Verifies demographic and insurance information of existing patients at each visit.
  • Maintains current managed care information. Proficiently processes referrals on the POS device or on paper. Obtains required authorizations, eligibility verification and confirmation of registration information. Enters referral information into computer database.
  • Notifies Clinical Assistant staff of walk-in patients arrival and obtain permission to add them to provider schedule.
  • Monitors patient flow and waiting room activity, keeps appropriate clinical personnel informed of patient flow issues.
  • Distributes mail and processes office correspondence and/or requests for information, always maintaining confidentiality policies.
  • Is responsible for monitoring various patient exit functions such as the verification of patients demographics and insurance information, the completion and collecting of in/out patient encounter forms, and the collection of co-payments and outstanding balances from patients at time of service.
  • Schedule follow-up appointments, tests, and procedures.
  • Process referrals for patients upon checking out.
  • Maintain strictest confidentiality.
  • Performs all other duties assigned by Office Coordinator or Practice Administrator, must be willing to take on additional responsibilities and provide assistance in all areas needed.
