JOB PURPOSE

Responsible for managing vendor confirmations to ensure that purchases orders are received and confirmed accurately and following up on unconfirmed purchase orders. They are also responsible for following up on open purchase orders or open purchase order lines that are past their due date. Additional tasks include working with warehouses on resolving receiving discrepancies (OS&Ds), working with accounts payable to resolve vendor invoice discrepancies (APDs), and working with vendors, Inventory Analysts, and the field on business related issues.

RESPONSIBILITIES

Build relationships with vendors, learning contacts throughout the organization, and leveraging relationships to solve problems, such as expediting late POs, improving delivery dates, etc. Achieve specific procurement goals or provide support to others while following established procurement systems and protocols.
Identify trends, summarize findings, and give feedback on existing contract performance, and provide as input to new contract processes for negotiations/renegotiations.
Carry out a range of contract management tasks, including verification of vendor acknowledgements for delivery date, cost. quantity and terms, as well as questioning cost discrepancies
Produce accurate reports for others by collecting data from a variety of standard sources and inputting it into standard formats.
Prepare moderately complex documents using a variety of computer applications such as Microsoft Office. Also responsible for gathering and summarizing data for reports.
Collect and collate information on the key cost drivers, market dynamics and issues, areas of innovation, and alternative suppliers for more senior colleagues to provide solid market information for decision making.
Monitor and analyze data using cost accounting systems and protocols.
Resolve complex queries from internal or external customers or suppliers by providing information on policies and/or procedures, referring the most complex issues to others.

Works with guidance (but not constant supervision) to develop appropriate plans or perform necessary actions based on recommendations and requirements.
Works with guidance (but not constant supervision) to review and create relevant, lucid and effective reports.
Works at an intermediate level to use spreadsheet software. Typically works with guidance.
Works at an intermediate level to create and run queries and interact with various database interfaces and query languages. Typically works with guidance.

EDUCATION

High School / GED Required
Associate / Bachelor Degree Preferred

EXPERIENCE

General Experience12+ months related experience preferred
Sound experience and understanding of straightforward procedures or systems

Work Environment Employee may be exposed to cold, heat, damp, or humid conditions. Will work around moving machinery, such as forklifts and pallet jacks. Will be exposed to exhaust fumes and paper dust. Noise level in work environment often loud.
