The HRIS Specialist is part of the human resources team and manages systems aspects of the human resources functions. This position is responsible for the processing of employee records related to all university faculty, staff, temporary staff, and adjuncts and will comply with all legal requirements related to hiring and terminations and departmental procedures relative to handling confidential personnel records. This person will work independently as an HRIS liaison, a subject matter expert in complex technical HR systems, and will lead others on campus and within the department with their HRIS needs. Job duties include independently writing SQL queries and managing external database tables using Microsoft Access to design and develop Excel reports that help leaders make business decisions. This person will also be the co-custodian of records, a project manager for special initiatives, and the systems expert and project lead for the employment verification redesign project.

Required Education

  • BA degree or equivalent work-related experience.

Required Experience

  • 5-8 years of related experience.

Primary Duties/Essential Functions

  • Co-custodian of records for employee personnel files; ensures that all information is accurately captured and properly stored in HRIS systems; manages authorized access.
  • Quality assurance focal to troubleshoot programming and functionality issues on all HR platforms.
  • Collaborate with Talent Acquisition team on hires, promotions and transfers, managing the HR roles in the SilkRoad onboarding system.
  • Works independently to process and analyze employee information by using Human Resources Information Systems (HRIS).
  • Reviews data input and output reporting for accuracy; process all employee and organizational changes; investigate and resolve data integrity issues.
  • Determine scope requirements and write SQL queries for report requests for end-users to aid in finding solutions to complex aspects of business changes; design, develop, and troubleshoot reports using Excel, Access, and/or SQL Developer.
  • Update backend systems tables for Total Access using Microsoft Access.
  • Provide timely and effective communication with departments on campus related to employee documents and processes.
  • Responsible for creating a work environment that maintains confidentiality
  • Responsible for requests from the duplicate committee with regards to data in PeopleSoft.
  • Oversee HR processes for contract entry.
  • Leads HRIS team for special system initiatives that deliver permanent cost savings to Human Resources (employment verification redesign).
  • Serve as subject matter expert for I-9 verification, training designees and oversee process in new employee orientation, including collecting documentation and SilkRoad/E-Verify electronic process.
  • Provide exit packets for faculty separating from the University.
  • Respond to confidential inquiries from General Counsel and collaborate on subpoena requests.
  • Collect appropriate documents and meet with employees and background investigators for personnel file review.
  • Maintain Employee Services email account and Zendesk requests in a timely manner.
  • Provide data review for annual employee recognition event.
  • Identify areas of opportunity to improve existing HRIS processes, functionality and workflow.
  • Create and maintain documentation of processes and training documents.
  • Regular, punctual attendance as required by the supervisor based on department needs.
  • Strong collaboration and communication internally and with other departments for day-to-day end-user help requests.
  • Cross train on all HRIS team responsibilities.
  • Participate in user group meetings/conferences.
  • Develop user procedure guidelines and documentation.
  • Manage Formstack and Hello-Sign process for all electronic contracts.
  • Manage PeopleSoft testing, adding new departments, combo codes and security tree.
  • The HRIS primary focal for Payroll colleagues and end-user population.
  • Train HR staff members and representatives of other departments on new processes/functionality and in the processing, retrieval, and interpretation of data from automated systems.
  • Act as a liaison with IT in identifying and correcting problems relating to computerized Human Resources files.
  • Collaborate with payroll on any contract changes, payroll deadlines and student and employee needs through systems interfaces and data exchange.
  • Quality Assurance (QA) lead for HRIS system upgrades and security patches applied to our system of record and other systems of reference that drive a healthy business continuity.
  • Ability to set up and work remotely when required
  • Work in conjunction with the Zen Desk ticketing system
  • Analyze and report the need for system enhancements or customizations.
  • Serve as a subject matter expert for HRIS systems capabilities (PeopleSoft, PayForce, Kronos, ADPC, Total Access, others).
  • Key resource and champion for HR used for many process improvement initiatives that deliver a huge impact to the overall employment experience at APU.
  • File and e-file various employment records into appropriate personnel files.
  • Perform special projects and assignments as assigned by the supervisor.

Technologies

  • Proficient in Microsoft Office, Word and Excel, HR PeopleSoft, SilkRoad, PayForce, HR Total Access, Google Apps, Zendesk.
  • Experience with Workday HCM a plus.

Compensation

Grade 9: $23.58 - $30.65Salary will be commensurate with qualifications, experience, and internal equity.
