The Department of Pathology at the University of Virginia is seeking a Grants and Contracts Specialist. This position supports the Department in pre and post award grant coordination, research operation support, clinical research support, and grant financial reconciliation. This position also serves as a research support to our principal investigators to provide best practices, training, and compliance oversight.

The candidate will manage multiple faculty grant portfolios; proposal submissions, monitoring activities and expenditures on research projects, and performing project closeouts, etc. The position require strong communication skills as the candidates will be required, throughout the life cycle of the research grants, to work and collaborate with different entities and personnel within the University, such as, the office of Grants and Contracts, the School of Medicine, Department of Medicine, the Office of Sponsored Programs, etc. Job responsibilities require strong organizational and problem-solving skills, attention to detail, and an understanding of research and administrative operations. Strong interpersonal skills are needed for effective communication with all parties.

Job responsibilities include:

  • Prepare and manage numerous proposal submissions, including filling out forms, preparing letters, uploading proposal documents into sponsor portals, mailing proposal hardcopies, and interpreting guidelines for the Principal Investigator.

  • Create monthly account reconciliations for multiple awards, handle labor scheduling, process vendor invoices for multiple awards, and perform cost transfers.

  • Prepare funding reports, final invention statements, and progress reports and provide guidance to researchers completing grant applications.

  • Assist with the preparation of budgets, budget justifications, revisions, monitoring, identifying budget resources, and authorizing grants and contract accounting.

  • Approve purchases and expenditures or maintain and reconcile accounting records.

  • Ensure compliance with terms and conditions of contracts relating to effort reporting, expenditures, and personnel actions.

  • Provide information on policy and procedure interpretation, new regulations, and new processes to faculty, staff, and external sponsors.

Minimum Requirements:

Education: Associate's degree
Experience: At least two years of grant and contract experience. Two additional years of experience may be accepted in lieu of degree.
Licensure: None

Preferred Knowledge and Skills:

  • Knowledge of grant funding policies and procedures and applicable local, state, federal and university regulations.

  • Ability to provide technical advice and information to faculty and staff in area of expertise.

  • Aptitude to oversee grant proposals and financial transactions.

  • Strong interpersonal, communication skills and the ability to work effectively with a wide range of constituencies in a diverse community.

  • Ability to make administrative/procedural decisions and judgments.

  • Aptitude to analyze budgetary line items for compliance with budget guidelines.

  • Human relations, leadership skills, and the ability to function in a team environment required.

  • Capacity to multi-task and work towards several objectives simultaneously on tight deadlines.

  • Ability to solve moderately complex accounting and reconciliation issues.

  • Microsoft Office (Word, Excel, PowerPoint, Outlook)
