The University of Miami/UHealth has an exciting opportunity for a full-time Sr. Clinic Assistant to work at the Lennar Foundation Medical Center in Coral Gables. The Senior Clinic Assistant works directly with patients and various healthcare facilities to obtain patient information for medical records in preparation for first clinic visits. The incumbent also assists with patient care.

  • Explains HIPPA to patients and obtains signatures.
  • Submits signed consents to healthcare centers to initiate retrieval of medical records, pathology slides, x-rays, and other pertinent reports.
  • Tracks pending records to ensure delivery prior to clinic visits.
  • Communicates to the appropriate nurse coordinator if difficult or unable to obtain pertinent records.
  • Prepares pathology slides and submits for consultation.
  • Returns slides to appropriate institution or patient.
  • Maintains accurate clinical records per hospital policy while preserving confidentiality of patient information.
  • Assembles, completes, and processes patients' charts.
  • Assists with ordering, receiving, distributing, sorting, and storing supplies.
  • Reports suspicious or unusual incidents to appropriate supervisory personnel.
  • Assists with clerical duties, to include receiving phone calls, sending faxes and emails, and scanning and copying documents.
  • Adheres to University and unit-level policies and procedures and safeguards University assets.
  • Document the notes for patient visits
  • Enter orders/referrals
  • Enter instructions into the LOS with respect to checkout notes
  • Route note to PCP/referring physician
  • Make chemo packets
  • Assist patients with downloading Dr. Kristin Rojas' podcast
  • Notify patients of free resources available (Good Rx, copay assistance programs, etc.)
  • Continuously monitor clinic flow, assess problems, propose solutions
  • Assist in communication with CTU and relay information to MD/NP
  • Assist in communication with UR and Pathology
  • Ensure proper communication between MD, NP, RN, MA regarding patients to keep clinic moving
  • Work closely with RN/Administrative Assistant to ensure we have necessary records for new patient visits
  • Work with RN to chart review the next day's clinic, make sure tests ordered have been completed and results requested if done outside UM (including pathology results)
  • Work closely with Administrative Assistant to assist with scheduling/findings slots for patients
  • Review schedule and alert Administrative Assistant if there is a scheduling error
  • Notify Administrative Assistant if a patient wishes to reschedule
  • Work closely with research team to ensure proper information is documented per study protocol

Minimum Qualifications:

Education:

High School diploma or equivalent required

Experience:

Minimum 3 years of relevant experience
