Overview

  • Confidential and effective interaction with management at all levels, both internal and external
  • Detailed, advanced calendar and time management skills. The incumbent will be required to confidentially and efficiently manage multiple executives' calendars as well as conference room schedules.
  • Meeting preparation. Candidate will be required to arrange room locations, materials and equipment needed for meetings as well as making communication connections, as required (phone conference, live meetings, video conference, etc.) well in advance of the meeting starting.
  • Travel arrangements. Candidate will book all Domestic and International travel.
  • Manage day to day administrative and clerical responsibilities in a professional, positive, efficient and confidential manner. These duties include, but are not limited to, full utilization/knowledge of scheduling, travel arrangements, expense reports, organizing and maintaining essential file documents. Effectively direct inquiries to appropriate colleagues for response and action.
  • Position could temporarily, on occasions, support other executives as needed; must be flexible and committed to perform or complete job assignments outside of core working hours and daily responsibilities.
  • Provide other special support where needed (projects, special events, etc.) in a professional and appropriate manner.
  • Preparation of reports, presentations, gathering and summarizing data of a confidential nature.
  • Function as back-up for other Executive Assistants in their respective assignment(s), coordinating breaks and time off with colleagues to ensure coverage at all times.

This position is responsible for performing administrative and general office duties in a professional, confidential, responsible and proactive manner for members of the HBI Executive team. This position represents executives with the highest level of professionalism for both internal and external customers. The position may also provide administrative support to other areas as requested by management, i.e., Board of Directors, etc. as needed.
Qualifications
  • Required Education: High School Diploma or equivalent
  • Preferred Education: Bachelor Degree
  • Required Years of Experience: 3-5 years
  • Preferred Years of Experience: 5+ years of experience
  • Highly proficient computer skills and demonstrated proficient experience in Microsoft Word, Excel, PowerPoint and Microsoft Outlook.
  • Strong organization skills, detail orientation and efficient follow-up processes.
  • Must be able to prioritize and work under pressure. Incumbent must be able to keep projects moving while working on multiple projects for multiple people.

  • Proven ability to accept responsibility, exercise a high degree of initiative, confidentiality, good judgment, and make decisions within the scope of assigned authority.
  • Sense of urgency in completing tasks in a timely manner.
