The firm is seeking a Temp-to Perm Executive Assistant to provide administrative support in our Restructuring Division for two Partners, as well as one Managing Director and Junior bankers. This position will start ASAP with three days in office and two days working from home. The temp trial period will be 3-4 months long. Hours 8:30am-5:30pm with availability for OT as needed.

Job Responsibilities:

  • Manage a high volume of meeting requests as well as last minute calendar changes
  • Respond in a timely manner to a high volume of emails
  • Schedule domestic and international travel arrangements (air, hotel, ground transportation) with Corporate Travel
  • Organizing conference rooms for onsite client meetings, setting up audio/visual, greeting guests, and providing beverage and catering service as necessary
  • Planning team and client events, holiday parties (team dinners, dinners/lunches)
  • Prepare and process timely expense reports on a monthly basis using the Workday expense application.
  • Provide coverage to back-up Assistant for time out of the office.
  • Provide timely and proactive status updates on assigned tasks.
  • Other general responsibilities include: answering calls and taking messages, scanning documents, maintaining contacts.
  • Liaise with clients, guests and all personnel in a professional and courteous manner adhering to the company culture and values
  • Ability to be available and responsive to requests after core working hours

Preferred Qualifications:

  • Minimum of 7+ years of experience; excellent performance record; previous experience in the financial services industry preferred but not required.
  • Advanced proficiency in Microsoft Office Suite (MS Outlook, Word, Excel and PowerPoint).
  • Ability to multi-task and manage competing priorities effectively while meeting deadlines.
  • Experience working with highly confidential information.
  • Proven ability to manage demanding travel and calendar schedules
  • Strong attention to detail.
  • Team oriented with the ability to work well within a group
  • Self-starter who is resourceful, organized and detail oriented.
  • Excellent judgment, strong problem-solving skills and sense of urgency, and willingness to go the extra mile.
  • Outstanding written and verbal communications skills.
  • Ability to understand and follow processes and governance requirements

Compensation/Benefits:

  • 40/hr max while temping, DOE
  • Up to $100K when perm, DOE
