Job Summary/Basic Function
Reporting to the director or designee, this position supports the Center for Health Education and Promotion (CHEP) at Millersville University. The position requires a willingness to complete tasks in a timely manner and the ability to manage multiple tasks simultaneously.

Located in Lancaster County, Pennsylvania, Millersville University of Pennsylvania is one of the 10 public universities of Pennsylvania's State System of Higher Education. Annual Salary: $26,550.00 plus comprehensive benefits starting on the first day of employment, including:

  • Health insurance - Low bi-weekly premium. Employees pay 5% of bi-weekly salary for benefit coverage with ability to pay 2.5% when participating in the wellness program.
  • Dental insurance - Coverage is free to employee and dependents after 90 days
  • Vision insurance - Coverage is free to employee and dependents after 90 days.
  • Group life insurance - equal to annual salary (up to $25,000.00) at no cost to the employee
  • Retirement - 2 plans to choose from
  • Tuition waiver - employee, spouse, and dependents are eligible
  • Vacation leave - up to 11 days accrued per year for first 3 years, increases to 19 days per year after 3 years
  • Sick leave - up to 11 days accrued per year, including up to 5 days per year that can be taken to care for a family member
  • Holiday leave - 12 days per calendar year

Required Qualifications
  • Six months as a clerical assistant 1 OR graduation from high school OR any equivalent combination of experience and training.
  • Experience performing moderately complex clerical activities with considerable independence.
  • Demonstrated ability to:

  • Proficiency in standard office technology, including Microsoft Office, Teams, and Zoom.
  • Experience managing schedules using software management systems.
  • Demonstrated support for diversity, equity, and inclusion.
  • Successful interview (including Word and Excel tests).
  • Successful completion of three background checks.


Preferred Qualifications
  • 2 Years of work experience in clerical/secretarial position(s).
  • Experience working at a college or university.
  • Experience working directly with students and external vendors or organizations.
  • Working knowledge of institutional policies and procedures.


Job Description
The Center for Health Education clerical assistant is responsible for the overall administrative and financial coordination of CHEP, including:

  • Assist the director and staff with program development, implementation, and evaluation of various campus-wide programs and events.
  • Coordinate the development and implementation of awareness tables at events in conjunction with the peer education team.
  • Coordinate all requests for peer education programs with student groups and the campus community.
  • Provide customer service for the office by answering phone calls, emails and interacting with walk-in appointments.
  • Open and close the office during normal business hours and provide a presence in CHEP for students.
  • Monitor and respond to emails for the office.
  • Manage the office schedule for the director and student leaders of CHEP, including scheduling meetings for the director and student leaders as appropriate.
  • Purchase and reconcile expenditures for CHEP and its affiliated grants.
  • Oversee the advertisement, application, hiring, and background check processes for student leaders of CHEP.
  • Coordinate the work schedules for student leaders.
  • Train and supervise student office employees.
  • Conduct data entry for different projects using various software systems.
  • Develop communication materials, maintain the website, and coordinate social media campaigns.
  • Collect and disseminate data relative to the evaluation of programming and relative committees of the office.
  • Run reports on spending, participation, and services utilization.
  • Type correspondences, reports, proposals, and other written communication for the program.
  • Troubleshoot problems for vendors, faculty, or others providing support to CHEP.
  • Ensure compliance with financial processes and procedures of the University.
  • Maintain organization of the office and submit work orders as needed.
  • Maintain department inventory of educational materials and safer sex kits.
  • Submit monthly distribution reports to the director.
  • All other duties as assigned.


Essential Functions
  • No or very limited physical effort required.
  • No or very limited exposure to physical risks.
  • Extensive writing skills (prepare and organize complex documents).
  • Extensive verbal communication skills (provide information and assistance regularly).
  • Basic math skills.
  • Most work done at a desk, utilizing a computer and phone.
  • Work is normally performed in a typical interior/office work environment.
  • Understanding of written and verbal directions.
  • Ability to sit for long lengths of time.
  • Must be able to lift/pull/push up to 10 pounds.
  • Dexterity of hands and fingers to operate a computer keyboard and mouse.
