Position Summary::

The Dean's Assistant - Health, Education, and Cosmetology Programs should have basic knowledge of applicable laws, regulations, and departmental policies and procedures. Responsibilities may include providing organizational or departmental information to students, community members, and other staff; answering questions within established procedures; prioritizing tasks; scheduling appointments and/or activities; developing and implementing filing systems; compiling, tracking and reviewing data and reports; attending meetings and taking notes; preparing, reviewing, revising and distributing standard documents and correspondence; ordering and maintaining an inventory of supplies; creating purchase orders; and performing basic quantitative and qualitative reviews of data. May monitor work of part-time and/or student workers.

Staff Required Education/Experience::

High School Diploma or equivalent (G.E.D.), and two (2) years of administrative support experience; or, an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job.

Knowledge of: Customer service principles; Basic principles and practices in assigned area of responsibility; Modern office procedures, methods, and equipment; Basic filing and record keeping principles; English language, grammar, and punctuation; Data review techniques; Computers and related software applications.

Skill in: Composing routine correspondence, memos, forms, and/or other related information; Maintaining files; Providing customer service; Proofreading and editing documents; Utilizing modern office equipment; Processing and reviewing data; Prioritizing and assigning work; Using a computer and related software applications; Communication, interpersonal skills as applied to interaction with subordinates, coworkers, supervisor, the general public, etc. sufficient to exchange or convey information and to receive work direction.

Political and social sensitivity; excellent technical skills; strong organizational skills; ability to maintain confidentiality.

Knowledge of health care and some medical terminology is preferred.

Positions in this class typically require: reaching, standing, walking, fingering, grasping, feeling, talking, hearing, seeing and repetitive motions. Sedentary Work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.

1. Performs a variety of administrative activities, which may include:making travel arrangements; scheduling and coordinating meetings and/or events; transcribing meeting minutes; preparing and reviewing financial and/or statistical reports; and planning and coordinating schedules; and managing calendars.

2. Collects, compiles, prepares, reviews, and records paperwork,databases, spreadsheets, applications, forms, reports, and/or confidential information related to assigned area of responsibility,ensuring completeness and accuracy of information; maintains related records.
