A day in the life
In this central departmental role, you will support a regional team of six (6) Development Managers with managing corporate processes and procedures on multiple real estate development, and construction projects in Seattle, Portland and Denver. This role is critical to ensure that each project follows company standards, and the contract administration is efficient. The ideal candidate thrives in a fast-paced, customer-centric environment, where they will balance multiple priorities and respond to internal and external customer needs. This role will be at the center of the team's business and project operations, supporting projects and deliverables. This position will anticipate the needs of your team and help them stay focused on their objectives by driving all administrative, contractual, reporting and project functions.
Key responsibilities include:
- Draft and edit all relevant project or development information, process for party signatures, and enter all contracts, addendums and change orders for land and shell development, tenant improvements and major capital construction projects into PeopleSoft (accounting system).
- Review and enter invoices into PeopleSoft. Reconcile contract upon project completion.:
- Assist contractors with the prequalification process and onboard new suppliers.
- Review and maintain contractor insurance files and solicit updates as required before payment.
- Ensure costs are coded correctly on invoices and are in line with the contract budget allocation.
- Communicate with contractors and consultants to understand Prologis cost coding and coordinating with the Development Managers.
- Prepare reports, periodic accruals, and budget to actual based on contracted costs.
- Maintain the project filing directory in the cloud, ensuring that contracts, invoices, drawings, and all other required documents are being uploaded and maintained.
- Primary point of contact for projects on development and accounting processes and procedures. Educate contractors on Prologis process requirements and provide training to development administrative assistants as needed.
- Prepare monthly expense reports and assist with travel arrangements and other administrative support requests for the team.
- Support the overall teams' project management, critical meeting schedules, jurisdictional deliverables, contracts, etc.
Building blocks for success:
- 1+ years of related industry experience
- Prior industry experience as a project administrator, development assistant, project engineer, property manager, contract administrator, office administrator, or equivalent role.
- Proficient knowledge of the Microsoft Office Suite (e.g., Excel, Word, PowerPoint, Outlook). It would be a bonus if the applicant had some knowledge of one or more of the following: DocuSign, Smartsheet, PeopleSoft Financials, Adobe Acrobat and/or Bluebeam.
Preferred:
- Bachelors degree or equivalent experience preferred.
- Related experience in a Real Estate, Property Management, Construction, Engineering, Architecture, or related firm.
- Demonstrated ability to prioritize, manage and complete multiple oral and written instructions from several different development managers concurrently with efficiency and accuracy.
- Self-driven, pro-active, willingness to learn and create new processes and efficiencies, and follow-through.
- Not afraid to ask questions, drive for clarity and completion.
- Meticulous attention to detail and accuracy.
- Customer service mind-set and a team player mentality.
- Proven ability to communicate effectively (oral and written) with customers, peers, management, contractors, and vendors.
- Show tact, discretion, confidentiality and good judgment in handling sensitive and confidential matters and documentation.
Hiring Salary Range of: $34.00 - $46.00 per hour. Salary and whole compensation package (bonus target) to be determined by the candidate's location, education, experience, knowledge, skills, and abilities, as well as internal equity and alignment with market data.
