TITLE:Business Analyst - Student Records & Admissions

POSITION NO.: P06253

SECTION: Admissions & Records/College Registrar

HIRING SALARY: $49,042.15 - $53,710.94 annually: salary calculations will start at minimum

HOURS: 8:00 am - 5:00 pm Monday through Friday

MAJOR FUNCTION: The Business Analyst is housed within the Admissions & Records office and will report to the Dean of Enrollment Services. The Business Analyst will provide responsive, professional, and knowledgeable support to users experiencing issues/problems with enterprise applications, primarily Workday, and the integrations that support them. Identify and articulate the need for change in those applications, and facilitate that change. Coordinate the quality assurance of those applications. Serve as a liaison between Administrative Services and IT, focusing primarily on the needs of assigned functional area.

Primary duties will include, but are not limited to:

Analyze and Improve Business Practices.

  • Analyze and improve business practices and processes and how technology is or can be used to support those business practices and processes. Recommend changes to improve efficiencies and implement best practices. Work with other business analysts to coordinate efforts in streamlining business processes across functional areas. Effectively communicate system or process changes to users who have varying technical knowledge.

  • In conjunction with Institutional Research, develop and support the reporting and analysis of measurements, trends and benchmarks for business owners. Develop reporting mechanisms, perform basic to complex data analysis and research; make recommendations for improvements of reporting and data extrapolation methodologies. This may include reports and dashboards. Communicate with stakeholders to establish standards and methods of data types, methods of acquisition, and the intended audience for final reported results

Provide Daily Operational Support.

  • Provide daily operational support in the functional area, including identifying, triaging and resolving system issues. Monitor the What's New in Workday report as well as the Workday Weekly Community Digest to see the new features/updates that Workday has made to the tenant during the weekly pushes/updates. Communicate important findings to the functional area and coordinate with the leads on implementation of findings.

  • Develop solutions for user requests and document all communications and solutions related to those requests. Evaluate past and incoming functional area requests to determine common/recurring issues and develop solutions to improve efficiency.

  • Stay active professionally, and be up to date on current and trends and technologies within their area of responsibility. Stay active in Workday Community. Develop relationships with other colleges in Florida and around the country to foster communication of business process and practices between the various organizations. Cross train with other Business Analysts to provide an overall understanding of the college's processes and systems.

Implement Upgrades and Provide Quality Assurance.

  • Coordinate enterprise system upgrades, conversions, and testing through collaboration with the functional area. Communicate and document changes to functional area stakeholders. Coordinate the execution of test plans, evaluate results and suggests solutions. Support the functional leads in testing, development of end user documentation, and provide training program and materials using a combined understanding of the system capabilities and institutional needs. Understand the impact of the changes on current business processes and communicate those to the functional area.

Provide Support with Training and Process Documentation.

  • Support the functional leads in the development of training for college personnel in a variety of ways including written (i.e., help sheets, documentation), video (i.e., screen recordings or video help/training materials), classroom, one on one, virtual, small group, large group or other formats. Create and deliver presentations on impact of system changes on the college. Work with the functional area to develop a user group within the college to continue to foster the use of Workday systems.

  • Document and keep current procedures and processes of the functional area.

MINIMUM TRAINING AND EXPERIENCE: A bachelor's degree and three years of experience using technology to solve business related problems, or a combination of education and experience may substitute for the required degree. Preference will also be given to candidates with experience in higher education, Financials, Workday, and/or Hyland OnBase.

KNOWLEDGE, SKILLS AND ABILITIES:

Knowledge of Admissions, Registrar's Office Practices, Student Records and/or Student Recruiting, HCM software, Workday software and project planning processes, Windows Office XP Software products, quality assurance, Admissions, Student Records, and Registrar's Office policies and procedures, as well as Tallahassee Community College policies and procedures. Skill in operating a personal computer in areas of word processing and data access, input and retrieval with accuracy. Use of Human Capital Management software. Ability to work productively and cooperatively on projects, fully participate in appropriate meetings, and carry out assigned tasks in a team environment. Understand facets of the Student Admission in Workday to include Admissions, Student Records, and Registrar's Office Practices, and the referential relationships between modules and the implications and impact of changes to the Workday system that affect Student Admissions. Utilize problem solving techniques.Analyze and interpret data. Plan, organize, and coordinate multiple work assignments. Delegate duties or tasks effectively when needed. Work under precise time restrictions and deadlines. Coordinate integrated personnel functions with co-workers. Show discretion and use good judgement in handling confidential information. Communicate effectively verbally and in writing.
