OCERS manages one of the university's critical systems, which collects and manages the revenue for approximately 1,300 conferences and non-credit programs for all campuses annually. The body of work and practice areas for Indiana University Conferences has grown significantly in the last several years. The reach and scope of the work of IU Conferences has expanded, not only on all campuses, around the state and nation, but also in a significant manner worldwide.

  • Virtual management and streaming
  • Planning and management of summer conferences and camps
  • Event registration and revenue collection
  • Contract management and payment processing
  • Event planning and travel assistance for international programs
  • Entrepreneurial program development


  • Job Summary

    The Associate Director of Registration is in charge of managing the Office of Conference and Event Registration Services, OCERS, which is a division of Indiana University Conferences.

    Department-Specific Responsibilities
    • Leads the department in managing item #4 - Event Registration and Revenue Collection.
    • Directs, manages, and monitors the activities of the Office of Conference and Event Registration Services (OCERS). Provides managerial, financial, and operational support and oversees the daily business operations of OCERS.
    • Selects, trains, directs, and evaluates registration office staff members, taking corrective action as necessary to resolve concerns.
    • Ensures that all phases of revenue processing are compliant with Treasury guidelines. Assures that all registration and revenue collection procedures and protocols safeguard the university by adhering strictly to PCI-DSS and PA-DSS and other security standards. Assure quality control of the registration process.
    • Responsible for ensuring that all services and protocols are up-to-date and meet industry and university standards.
    • Manages the relationship with 300+ units on all IU campuses, and with external clients around the world.
    • Consults with clients on all IU campuses on effective and permissible registration and revenue collection business practices.
    • Responsible for the development of fraud detection protocols for revenue and registration activities on all IU campuses. This requires documentation, constant evaluation, and monitoring. The issues of potential fraud are complex and require an understanding of different domains such as financial fraud, visa application fraud, phishing fraud, etc. This manager convenes a monthly security discussion with senior management.
    • Manages a highly complex registration and payment collection systems.
    • Initiate in-depth analysis of registration policies and practices and make recommendations for improvement.
    • Coordinates all on-site registration staffing, going on-site when necessary, in peak season.
    General Responsibilities
    • Provides day-to-day operational management of event services staff.
    • Establishes short-term operational objectives.
    • Identifies operational issues and/or areas of improvement and implements solutions to improve processes and/or operational efficiency.
    • Analyzes, monitors, and evaluates performance of assigned staff; establishes work priorities, conducts performance reviews, and provides corrective action as needed.
    • Ensures adequate staffing and effective scheduling; participates and informs employment decisions for assigned staff.
    • Provides direct supervision and oversight of assigned staff and activities; impacts, and is held accountable for, the performance of team and/or assigned staff.
    • Ensures and provides training to assigned staff to improve event services; researches and identifies development opportunities for assigned staff.
    • Researches and stays up-to-date on new industry event services standards, best practices, and emerging technology; keeps next-level leader(s) informed of trends as well as significant problems.

    Working Conditions / Demands

    This role regularly requires the ability to effectively communicate. This role frequently requires the ability to handle equipment. This role frequently requires the ability to remain stationary and ascend/descend ladders/stairs. This role requires the ability to move objects weighing up to 25 pounds. The role requires the ability to detect items in close proximity as well as far away; discern between colors; detect objects in peripheral space of self; discern items in detail; and to have good depth perception. The person in this role must be able to perform the essential functions with or without an accommodation.
