Responsibilities

The Associate, Community Lending and Investments Administrator will report to the Managing Director of Community Lending & Investments (CLI) and provide Administrative support for the loan and investments portfolios, for the CLI Division based in Pasadena, California.

The Associate is responsible for assisting with managing project files for loans and investments. Offering technical support to borrowers and maintaining relationships with third party vendors. Comply with all approved conditions and project guidelines, and communicate regularly with all involved parties and departments.

ESSENTIAL DUTIES AND RESPONSIBILITIES :

Maintain Loan and Investment Management Files

• Download all quarterly reports and annual reports and maintain a complete file on the shared drive and other internal share points.
• Establish a contact list per project, including borrower, contractor, additional source contacts and any consultants.
• Maintain internal databases of projects in the lending and equity portfolios
• Assist VP of Asset Management in the preparation of quarterly reports for all construction loans and investments and the quarterly tables for ongoing asset management.
• Maintain ETT ticklers and assist in enforcing borrower and investment compliance
• Assist tax department to obtain K-1s

Process Reimbursables and Track capital calls/draws

• Track all construction related invoices and reimbursements and work with servicing department to process payments
• Work with closing coordinators in the closing/disbursement process
• Assist with AHP, AHEAD, MDI programs
• Invoice, process, and work with internal legal on all legal reimbursements
• In collaboration with middle market group, track all current draws to ensure timely processing
• Save fund capital calls to share drive and sharepoint and coordinate with CLAS on disbursements
• Save monthly construction loan draw request docs and spreadsheets to share drive
• Invoice, process, and work on reimbursements of all construction inspection reimbursements
• Other duties as required by Director or VP of Asset Management

Qualifications

The requirements listed below are representative of the knowledge, skills, and/or abilities required for this position.

Knowledge, Skills & Abilities :

• Experience with accounts payables, invoicing
• Knowledge of construction draws, and trades involved desired, but not required
• Strong analytical skills and critical thinker
• Ability to work independently, self-starter.
• Strong Microsoft Office skills, specifically Excel and working knowledge of creation of pivot tables.
• Ability to effectively and professionally interact and work with customers, contractors, and colleagues.

Education and/or Experience:

• A minimum of four years related experience and/or training; or equivalent combination of education and experience.
• Prior knowledge of construction management desired.
• Working knowledge of Excel is required.
• Attention to detail is a must.
