501880 - Under the general supervision of the Associate Athletic Director for Business Operations, the Assistant Business Manager facilitates various financial and HR business processes for the Department of Athletics. Additionally, this position will assist coaches and staff on travel coordination.

RESPONSIBILITIES:

  • Assists with various financial functions.
    • Administers payment request process, responds to inquiries regarding payment status, and assists in identifying areas for potential savings.
    • Assists with the management of the University credit card program.
    • Handles the accounts receivable process and deposits for any funds that are not related to the operations of the Athletics Ticket Office.
    • Handles payment of game officials.
    • Assists with entering contracts into the University contract management system.
    • Processes new vendor requests and partners with Account Payable to onboard into the system.
    • Educates staff members on relevant University and department policies and procedures as well as adherence to applicable laws.
  • Supports athletic staff with team, recruiting, and individual travel planning.
    • Provides travel planning assistance to sports without a full-time director of operations position. This may include, but is not limited to, securing and booking hotels, ground transportation, commercial flights, and restaurants.
    • Ensures proper payment of buses, flights, hotels, catering and other travel expenses.
    • Identifies and implements ways to manage and/or reduce travel costs.
    • Assists hiring manager with candidate travel.
  • Assists with various human resource functions.
    • Helps plan and assists with staff engagement activities.
    • Processes personnel action forms related to one-time payments, separation, volunteer activation, etc.
    • Coordinates on-boarding details such as technology, ID cards, parking, facility access, etc. and assists with internal orientation programs.
    • Handles onboarding and management process for volunteers.
    • Educates staff members on relevant University and department policies and procedures as well as adherence to applicable laws.
  • Creates and maintains a list of department assets and works with applicable areas in management of department assets.
  • Maintains records for Risk Management.
QUALIFICATIONS:
  • Must have excellent communication, organizational and interpersonal skills and have the ability to perform accurate, detail-oriented work.
  • The ability to work independently and under the pressure of deadlines is a necessity.
  • Must possess the ability to maintain confidentiality and demonstrate a commitment to integrity.
  • Adherence to all applicable NCAA, conference, and institutional rules and regulations is required.
EDUCATION & EXPERIENCE:
  • A bachelor's degree or equivalent combination of experience and training is required.
  • 1-2 years of experience in higher education is preferred with a strong preference for athletic administration experience.
WORK HOURS:
  • Full-time, non-exempt position
  • Monday - Friday, 8:30 a.m. - 5:00 p.m.; 7.75 hrs./day; 38.75 hrs./week
SALARY STRUCTURE:
Pay Grade 4 (Hiring Range $17.70 to $22.12 per hour)
