Reporting to the Accounting Manager, the accounts payable clerk will be responsible for receiving, verifying, and processing Accounts Payable invoices and employee reimbursement. Will also ensure timely payment of open accounts payable invoices, maintaining accounts payable file archives and responding vendor related inquiries. Accounting Clerk will be responsible for reconciling and reviewing, organizing, and importing monthly credit card statements.

Additionally, the Accounts Payable Clerk will:

  • Input new vendor records, including W9 collection, address, payment methods, and other pertinent needed information.
  • Review employee reimbursement requests for accuracy, proper coding, receipts and totals. Process and post it accounting system. Follow up with employee for missing any receipts.
  • Review vendors for contracts and ensuring payment totals and dates coincide with vendor contractor agreements.
  • Obtain required approvals for the invoice payments. Ensure proper supporting payment remittance backup is included with all outgoing payment support.
  • Update project managers of the paid consulting and subcontractor invoice and payment as requested.
  • Process and print checks.
  • Response to vendors inquiries.
  • Reconcile and review Credit Card transactions and request for receipts (weekly basis).
  • Organize and import monthly credit card statements and ensure all charges are properly supported with backups (invoices, receipts and approvals) prior to submitting for review.
  • Maintain Credit Card balances and inform accounting manager or director of exhausted balance.
  • Support other AP staff to assure timely and accurate processing of all AP functions.
  • Provides supporting documentation and schedules for external auditors.

Qualifications:
  • 2-3 years' experience with accounts payable
  • Experience with computerized accounting applications, preferably Sage 100(MAS 90)
  • Some knowledge in cost accounting preferred.
  • Bachelor's Degree

CALSTART includes the complete salary range amount $52,000- $73,000 the job level of the job announced. We determine pay based on education, experience, internal equity, and any other factors relevant to the job. Pay for this role will typically be from $52,000-$57,000.
