JOB SUMMARY

The Administrative Program Support 1 provides assistance to managers, supervisors, and other personnel in routine administrative tasks for the Humanities Institute (UCHI). This position reports to the Director and the Director of Academic Affairs of the Institute.

DUTIES AND RESPONSIBILITIES

  • Provides general office support, including answering phones, responding to inquiries, and directing calls for the Humanities Institute.
  • Coordinates a variety of data processing and electronic communication functions central to the UCHI's needs; schedules and produces routine documentation related to staffing, programs, and projects as needed.
  • Reviews records, meeting minutes, programmatic, and financial data for accuracy, reconciles differences, and works with other staff at the Institute and across University offices to identify errors and make corrections.
  • Maintains schedules for the UCHI seminar rooms, visiting speakers, and Institute directors. Schedules conference and day-to-day travel for the Institute and its grants, and processes reimbursements.
  • Compiles data and prepares statistical reports used to monitor or assess Institute activities, programs, and services (such as the UCHI Fellowship Program) and to project future needs.
  • Monitors office supply inventory and coordinates maintenance for office equipment.
  • Acts as a resource to Institute leadership, staff, fellows, and graduate assistants working on projects and programs.
  • Assists Institute administration and leadership in preparation of budgets and monitors expenditures.
  • Assists Communications Coordinator with development, review, and placement of promotional material and advertisements online and in print.
  • Assists with the planning and execution of the annual academic, research, and alumni relations events of the Institute.
  • Performs related work as required.
MINIMUM QUALIFICATIONS
  • Associate's degree in related field.
  • Two to three years of related experience in an administrative support position, which demonstrates knowledge of administrative methods.
  • Ability to work independently and in a team setting while regularly exercising judgment regarding administrative detail and procedures.
  • Excellent interpersonal skills, with proven ability to establish good working relationship with coworkers and a variety of constituents, inside and outside the University.
  • Clear, positive, and professional written, verbal and non-verbal communication skills.
  • Proficient in the Microsoft Office suite (Word, Excel, Outlook, etc.).
  • Excellent organization skills.
  • Demonstrated ability to respect diversity and work collaboratively with individuals of diverse cultural, social and educational backgrounds
PREFERRED QUALIFICATIONS
  • Experience working at UConn or a state University in an administrative capacity
  • Demonstrated experience with corporate purchasing
  • Familiarity with policies and procedures related to Procurement and Travel at the University of Connecticut.
  • Experience with Kuali Financial Systems/KFS/KFDM, Jaggaer/Husky Buy, and Concur.
