The Wharton Global Youth Program is seeking an Administrative Coordinator to oversee communications, operations, and delivery of the Wharton Pre-Baccalaureate Program, a new program offering designed to introduce high-achieving high school students to credit-bearing coursework at the Wharton School. The Administrative Coordinator will have a diverse set of responsibilities including application review, coordinating registration and billing, facilitating student support services, and overseeing department and instructor communication.

Wharton Global Youth Program (WGYP) mobilizes the extensive opportunities of the Wharton academic community to educate and inspire pre-collegiate students to explore business practices, analyze the world's complex challenges, and take the first steps in becoming leaders who will transform the global economy. Through direct programming offered on-campus and online to students, global student competitions, publication of an online business journal for teenagers, and educator engagement, the program engages thousands of high school students and teachers annually.

WGYP is seeking an Administrative Coordinator to oversee communications, operations, and delivery of the Wharton Pre-Baccalaureate Program, a new program offering designed to introduce high-achieving high school students to credit-bearing coursework at the Wharton School. The Administrative Coordinator will have a diverse set of responsibilities including application review, coordinating registration and billing, facilitating student support services, and overseeing department and instructor communication. We are looking for a highly-organized individual who has excellent writing, communication, and interpersonal skills. The Coordinator is an integral and active member of the WGYP team.

RESPONSIBILITIES

Registration and Billing

  • Facilitate the student record creation and course registration processes
  • Import necessary feeder files/data for student billing
  • Process manual tuition adjustments
  • Audit billing records and payments in accordance with Bursar's billing timelines


Student Support
  • Coordinate the student advising, registration and access point setup process for Pre-Baccalaureate students
  • Ensure student understanding of, and access to, relevant university learning resources
  • Along with WGYP team, serve as academic advisor for Pre-Bacc students, guiding them in course selection and information review
  • Monitor and respond to student inquiries in timely manner


Application Review and Data Collection
  • Support admissions committee in application review, lead revision of admission criteria documents, and train new reviewers on app review process
  • Create, revise, and export timely reports on application and program enrollment data, course registration data, and financial records


Administrative Coordination
  • Coordinate with academic departments and course instructors to roster courses, draft offer letters, and update course syllabi
  • Edit website and marketing materials to ensure quarterly course offerings are updated
  • Coordinate the communication and processing of federal and state background checks required for working with minors to relevant instructional staff
  • Support development, operations, and delivery of individual and cohort-based courses
  • Work with Courseware team to ensure quarterly course management and revision within Canvas


QUALIFICATIONS
  • H.S. Diploma or GED Required, with 5-7 years of related experience or equivalent combination of education and experience. Bachelor's Degree highly preferred.
  • Ability to multi-task priorities in a fast-paced environment
  • Excellent writing, proofreading, and professional communication skills
  • Excellent organizational skills
  • Work successfully both independently and as part of a team
  • Experience working in an educational institution (higher education and/or secondary) preferred
  • Previous experience using Microsoft Office suite particularly Excel and PowerPoint, SalesForce, and Campaign Monitor
