Administrative Coordinator
Provide high level professional support services to the Executive Director of Real Estate and all supporting team members. Staffing consists of approximately 11 staff members grouped by the following disciplines: Executive Director of Real Estate Services, Director of Portfolio Management, Director of Development Management, Director of Project Management, and Manager of Operations.
This position's primary function is managing calendars and coordinating meetings. These meetings include internal and external constituents; varying in size and complexity with room reservation and invitations from Microsoft Outlook. In addition, responsibilities include scheduling conference calls, technology requests (for meetings), mail distribution, answering phones, managing overnight package deliveries and preforming other various administrative tasks as requested. As an integral team member, the administrative coordinator will work as part of the Real Estate Team to ensure that day to day scheduling and administrative needs of the department are delivered.
This position also produces and managing documents or reports. From time to time, this position will coordinate all aspects of events from a small to medium scale; including but not limited to meals, room and transportation reservations. The candidate must possess the skills to interact professionally with school/center clients, customers, vendors, and senior level administrators. Must be detail-oriented with considerable initiative and strong customer service skills, must be experienced and proficient in Microsoft Suite. They must have the ability to work independently and in teams as required. Work cooperatively with fellow administrative staff of FRES, in particular by providing backup support with the other various intra-FRES departments including reception desk coverage.
Qualifications
HS degree and 5 - 7 years of experience, or equivalent combination of education and experience.
