Job Description Summary
Responsible to assist the operations team with administrative duties and coordination of operational activities, and managing vendors information and insurance documentations, vendor onboarding, and other duties as assigned. Provides assistance to the team to ensure successful service delivery of the client needs. Performs a wide range of administrative and office support activities for the department to facilitate the efficient operation of the organization.

ACCOUNTABILITIES :

Responsibilities include one or more of the following:

  • Tracking and compiling vendor documentation s , routing for signature, keeping current the vendor summary in ServiceEdge.
  • Coordinate and manage the transition of suppliers to the C&W system through ServiceEdge.
  • Includes tracking the status of each supplier for the several stages required to properly vet the suppliers and input them into the system.
  • Keeping track of vendors information and certificate of insurance (COI), managing its up-to-date status, and maintaining its filing in the team's shared folder.
  • Manage physical mail related to the business and vendors.
  • Manage and maintain email inbox's related to vendors and business unit.
  • Create and generate reports in S ervice N ow
  • Replying to vender inquiries regarding invoice submission and payment status
  • Other administrative duties as assigned
REQUIREMENTS :
  • Bachelor's degree in related field is preferred
  • Previous experience as facilities coordinator is a plus
  • Proficiency with Google Docs/Sheets/Slides and Microsoft Office Suite (Excel, Word, PowerPoint ). Intermediate Excel skills required .
  • Experience tracking data in an Excel spreadsheet.
  • Technical knowledge of ServiceEdge is a plus.
  • Detail oriented with excellent analytical, research, and organizational skills.
  • Proven record of providing excellent internal and external customer service
  • Excellent interpersonal skills
  • Excellent oral and written communication skills
  • Ability to influence the outcome of receipt of acceptable and timely documents
  • Capable of performing in a fast-paced environment with measurable results
  • Accountability for work performed

POSITION PURPOSE:

Assist the Operations & Accounting team with administrative duties and coordination of Incoming invoices to be processed. Manage Facility Services Inbox . Re ceive and distribute all incoming invoices , statements and payment requests to the proper person . Reply to venders with invoice status and collect outstanding invoices following vender inquiry or statement review.
