Required Qualifications: Applicants must specifically address how they meet these required qualifications to meet the requirements of the position.:

  • High School Diploma or GED
  • Demonstrated strong interpersonal skills in diverse work situations, working as a team member and making independent decisions as needed
  • Experience with various office equipment such as telephones, photocopiers, scanners, printers, and shredders
  • Basic understanding of travel coordination
  • Evidence of attention to detail
  • Ability to communicate effectively in writing and verbally
  • Ability to work in a team and independently
  • Ability to demonstrate organization and time-management skills
  • Ability to demonstrate basic accounting principles
  • Ability to demonstrate experience in multitasking and meeting deadlines.
  • Experience in customer service troubleshooting needs
  • Experience in answering multi-line phone and phone etiquette
  • Ability to operate a personal computer with Microsoft Windows and Office software, specifically Outlook and Excel
Preferred Qualifications:

  • Basic understanding of University Policies and Procedures
  • Punctual and reliable attendance
  • Two years of Administrative Assistant experience in continuing education or business setting
Job Description:

Responsible for providing administrative and general clerical support to management/staff within assigned division/department or unit.

Job Duties:

  • Provide direct support to the coordinator of Extended Learning Services.
  • Maintain calendar for supervisor and coordinate arrangements for meetings.
  • Review contracts for stakeholders and various programs and route appropriately for approvals.
  • Answer telephone, screen and transfer calls, take messages, and refer to other offices as appropriate.
  • Ensure smooth and routine operations of Continuing Education and Extension Programs through administrative and logistical support.
  • Compose, type and proofread correspondence, documents, and emails.
  • Organize and prioritize work.
  • Maintain files and review for completeness and accuracy.
  • Maintain records and assists in the preparation of departmental/divisional reports by gathering and summarizing information from a variety of sources.
  • Assists departmental leadership with development of organizational unit budget proposals, maintaining communications with work sections on status and information needs.
  • Monitor, order, and inventory office supplies.
  • Prepare travel applications, vouchers, requests, reimbursements, and compliance forms.
  • Review/create purchase orders and invoices.
  • Monitor transactions of operating budget including payroll disbursements, accounts payable, invoicing, and major purchases.
  • Reconcile expenditures and initiates budget allocation changes and reassignments of funds to and from various accounts, working with accounting staff to assure compliance.
  • Monitor due dates/times of all daily tasks, assignments and projects and initiate action
  • Assist with planning, organizing & executing department events.
  • Assists in the development and maintenance of internal procedure manuals.
  • Prepare spreadsheets.
  • Greet, screen, and route visitors.
  • Perform other duties as assigned.
