Antea USA, Inc. (Antea®Group) is seeking a motivated, detail-oriented Administrative Assistant, in our Boston, MA (Framingham) office location.

In the role of Administrative Assistant, you will support a broad range of project, resource, and administrative assignments in a fast-paced environment. Candidates must possess strong organizational and communication skills (verbal and written) and a demonstrated drive for continuous improvement. Core components of the role include administrative tasks supporting local and regional office teams including top level executives, direct interface with clients and vendors, assistance with facility operations and facility management and employee onboarding activities.

This is a full-time role located in Boston, MA.

Core Accountabilities

  • Management of project support including data entry, format editing, document quality assurance and quality control (QA/QC) and grammatical reviews, report generation, finalizing and shipping reports.
  • Serve as the primary facility contact for the Boston, MA office. In this role, you will be responsible for facility and company operations including office supply and equipment inventory, and support of the local team in obtaining IT support.
  • Subcontractor and/or vendor invoice processing, client invoicing and accounts receivable management, and database management.
  • Organize meetings, take board meeting notes, online cloud file management.
  • Support office recruiting efforts including assisting in on-boarding of new employees.
Qualifications
  • 2 - 5 years of similar experience with strong grammatical proofing, editing, and formatting expertise
  • Complete proficiency in Microsoft Office applications required - including Excel, Word, PowerPoint, and Outlook, experience with Salesforce and Financial Force is a plus
  • HS diploma minimum, Bachelor's degree preferred
  • Outstanding interpersonal and communications skills are a MUST
  • Database management experience
  • Exceptional organizational, scheduling and facilitation skills
  • Ability to maintain strict confidentiality is mandatory
  • Authorization to work in the United States without sponsorship, now or in the future.
  • Potential employees must pass a company-paid drug-screen and have a valid driver's license

Physical Requirements / Work Environment - Maintain physical condition appropriate to the performance of assigned duties and responsibilities, which may include the following:
  • Sedentary to light work (typical office or administrative work)
  • Frequently required to stand, sit and walk for extended periods of time
  • Occasional lifting and carrying of low (under 25lbs) to moderate (25-49lbs) weight objects
  • Repetitive motions: substantial movements (motions) of the wrists, hands, and/or fingers (including reaching)
  • Subject to inside environmental conditions (protection from weather conditions but not necessarily from temperature change)
  • Operation of a motor vehicle
