Position Title: Administrative Assistant 1, Upward Bound

Department: TRiO Upward Bound - East Campus

Starting Rate: Band 1 - $16.15 - $20.19

Position Summary:

TRiO Upward Bound is a U.S. Department of Education Grant funded Program. The purpose of the program is to provide academic support services and college preparedness experiences to high school student populations that come from first-generation to attend college and/or low income communities. The goal of the program is to provide services to students that will promote high school graduation, college enrolment and degree completion.

The Program Support Technician is responsible for utilizing excellent customer service skills while performing varied intermediate office support duties of moderate complexity. Work involves data collection, entry, review, and processing which may be checked for accuracy and completeness. The Support Technician is responsible for performing a variety of tasks involving some independence and the learning, understanding and application of various clerical policies and procedures.

A flexible work schedule including some evenings and weekends will be required for this position. Some in and out of state travel with and without students may be required.

Continued employment in the position is contingent upon continued funding through designated external sources. This grant is set to expire on 05/30/2027.

Duties and Responsibilities:

  • Perform various intermediate office support duties, utilizing standard office equipment, which may include:
    • photocopying and organizing documents
    • providing positive/reliable customer service
    • answering the telephone and directing calls
    • reliable typing and data entry
    • researching and responding to inquiries from college faculty, staff, students, and the general public
    • providing information regarding college processes and procedures
  • Prepare, maintain and securely file confidential records,
  • Organize and maintain working calendars
  • Assists with student activities, which includes safely operating a college vehicle to off-campus activities.
  • Reliably take and transmit messages
  • Assemble and compile data for incorporation into reports
  • Create spreadsheets, maintain databases and reconcile expenses
  • May schedule, train, assign, and monitor work of temporary staff and student aides
  • Preparation and distribution of mailings, fliers, lists, packets, and schedules of activities
  • Maintain and coordinate room schedules, arrange space for meetings, and events
  • Order and distribute supplies and maintain inventory
  • Prepare orders and related forms using established procedures
  • Participate in meetings and special projects with staff as directed
  • Perform other duties of a similar nature or level
Job Requirements:
  • High School Diploma or General Equivalency Degree and
  • Up to One year of related experience in administrative support and
  • Valid Arizona driver license
or
  • An equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above
Preferred:
  • Bilingual
  • Completion of post-secondary education program
  • Vocational or technical training
  • One to three years of related experience in administrative support

  • Ability to quickly adapt to challenges in a dynamic work environment
