The Service Center Representative-VMS is responsible for insuring that associate time and/or billing for assigned accounts are entered into third party vendor applications using reports generated from Adecco systems. Maintains reconciliation files to ensure that all transactions/billing is entered into the Vendor Management System (VMS) tool so payments are received correctly and timely by the customer. Works under direct supervision.

Responsibilities

ESSENTIAL DUTIES & RESPONSIBILITIES:

  • Meets weekly deadlines for entry of time and/or billing into Adecco and third party VMS systems.
  • Modifies reports and corrects data to systematically load daily time into Adecco timekeeping system. This includes hours, rates, start and end dates. Maintains records of time and expenses submitted in Adecco pay bill and third party systems.
  • Monitors and resolves pre- and post-upload errors with the assistance of Central Order Management, Master Service Provider (MSP), field colleagues and customer contacts.
  • Identifies and facilitates corrections of cross reference information and time tracking IDs.
  • Supports field offices in resolving pay and/or billing issues resulting from late approval of time, hours and rates adjustments.
  • Identifies and communicates time and expense discrepancies with MSP, field colleagues, reconcilers and customers. Makes appropriate corrections to the system, and processes adjustments when warranted.
  • Assists reconcilers in auditing customer and/or VMS payments to Adecco accounts receivables.
  • Participates in implementation planning and status meetings for new VMS customers. Makes recommendations were needed.
  • Works with Time Capture Business Analysts to implement and support other VMS processing initiatives.
  • Identifies issues preventing timely and accurate processing or payments and notifies management.
  • Manages incoming requests from field within service level agreements.
  • Trains field offices and internal colleagues as necessary on VMS processes.
  • Participates in special projects and performs other duties as assigned.


Qualifications

MINIMUM EDUCATION & EXPERIENCE REQUIREMENTS:
  • Associate's Degree in Accounting or Finance with a minimum of one (1) to three (3) years of related professional experience; or equivalent combination of post high school education and experience. Must be able to accurately type a minimum of 40 wpm. Proficiency in Microsoft Excel is required. General knowledge of accounting and cost/billing systems, practices/procedures, payroll processes and microcomputer software/hardware also required.
  • Data processing, billing and/or customer service experience is preferred. Proficiency in Microsoft Access is also preferred.
KNOWLEDGE, SKILLS & ABILITIES REQUIREMENTS:
  • Skilled in communicating effectively verbally and in writing.
  • Ability to establish and maintain effective working relationships.
  • Proficiency in Microsoft Office Products, such as Word, Excel, PowerPoint and Outlook.

  • Ability to prioritize, organize and perform multiple work assignments simultaneously while meeting assigned deadlines in a fast-paced, high volume environment.
  • Ability to quickly learn various types of software applications, including Adecco CM, Time Entry and Oracle, as well as other vendor software tools.
  • Ability to quickly learn the functionality of new etools, perform actions from documented process flows, and discern which system to use for each action in the process.
  • Must be detail oriented.
  • Good customer service, organizational, interpersonal and motivational skills.
  • Proficient with Microsoft Office products, including Word, Excel, PowerPoint and Outlook
