SUMMARY

The Accounts Payable Agent is an entry-level accounting position reporting directly to the Accounts Payable Manager. The position provides direct support for processing the day-to-day vendor invoices and payments.

ESSENTIAL DUTIES AND RESPONSIBILITIESinclude the following, but not limited to:

  • Maintains Accounts Payable files in an organized manner.
  • Works with Accounts Payable Analyst to resolve any disputes or discrepancies regarding vendor invoices.
  • Responds to vendor inquiries in a timely and professional manner.
  • Updates department logs and schedules.
  • Posts petty cash checks and wires.
  • Data entry of vendor invoices and expense reports.
  • Prepares and schedules weekly payments.
  • Performs three-way matching against statements, invoices, and data in A/P.
  • Obtains weekly statements from vendors and performs account reconciliations as needed.
  • Works closely with the Accounts Payable Analyst to prepare invoices for payment schedules.
  • Other duties may be assigned.



PERFORMANCE STANDARDS/MEASUREMENTS;

  • Must attain established work standards of quality and quantity on a consistent basis by process or function.
  • Must not exceed tardiness and absence allowances as established in the Company’s Employee Manual.
  • Consistently follows Company policies and procedures.
  • Ensures the accurate entry of all Accounts Payable transactions.
  • Ensures accurate and timely internal reporting.
  • Maintains amicable relationships with all company employees and business partners.
  • Maintains accurate documentation of disputed invoices.



QUALIFICATIONS:



EDUCATION and/or CERTIFICATION:


  • This position requires a high school diploma and/or equivalent.




REQUIRED KNOWLEDGE:

  • Previous office clerical experience is required.
  • Requires the ability to perform routine business mathematical functions and calculations


REQUIRED EXPERIENCE:


  • At least two (2) years of experience in an account payable, customer service, and office environment role.


SKILLS and/or ABILITIES:
  • The ability to speak and communicate professionally with internal and external contacts.
  • Possesses professional written communication skills for the purpose of easily and succinctly expressing results and findings.
  • Possesses the ability to plan, coordinate, and implement tasks involving new or constantly changing problems or situations. This involves the origination of new technologies or policies for programs or projects.
  • Strong computer aptitude with knowledge in Word, Excel, and Outlook

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.

While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to sit; stand; walk; use hands to finger, handle or feel; and reach with hands and arms; move about the facility. Some light physical effort required. Must be able to work well under pressure.
